An indexed electricity offer can name a market region without giving the hotel enough information to reproduce its energy calculation. The useful question is which published series, location and interval the agreement adopts, and how that reference becomes the retail amount. A broad market name is only the beginning of that record.

The contracts hub explains the surrounding purchasing decision. This guide creates an index-reference register for the selected product. It does not choose a pricing strategy or assume that the latest regional price displayed online is the value used for a particular hotel account.

What is the complete settlement reference?

Obtain the index name, publisher, location label and stable identifier where available. Record whether the series represents day-ahead, real-time or another specified reference. Retain the contractual language and the product exhibit that defines how the reference is used.

Ask the supplier to connect that name with an actual accessible publication. A familiar abbreviation can refer to different datasets, locations or aggregation methods. The hotel needs a reproducible reference rather than a screenshot whose source and filters cannot later be identified.

The pricing-structure guide addresses product choices. After choosing an indexed or hybrid arrangement, verify its complete reference independently. A product called index does not explain which quantity is indexed or whether the displayed market value is used without adjustments.

Why does the location identifier matter?

A market publication can contain several labeled locations. The NYISO day-ahead zonal report for October 12, 2026 displays distinct zones, identifiers and hourly entries. That dated table illustrates the need to retain the selected row and time labels; it is not a retail hotel offer.

Do not substitute a location because its name looks geographically close. Ask which point the agreement names and whether an additional location-related adjustment applies. If the contract uses a hub or other reference rather than the site’s apparent area, obtain the supplier’s explanation without declaring the arrangement incorrect solely from the address.

Keep the utility account and contractual settlement reference as separate fields. They answer related but different questions. The hotel’s service boundary helps establish its market context; the agreement establishes the adopted calculation. Both records are needed before an invoice can be checked meaningfully.

How are day-ahead and real-time references separated?

Locate the agreement’s timing language and the publication associated with it. Do not select a dataset merely because it is easier to download. A daily summary or day-ahead table may be useful context but may not reproduce the settlement method for a contract referencing real-time intervals.

The DOE time-variable pricing resource distinguishes day-ahead and real-time arrangements. Its federal guidance does not define a private hotel’s retail formula. It supports asking which reference is actually adopted before comparing calculated amounts.

For a hybrid product, identify which quantities use each price mechanism. A fixed block and an indexed residual need their own definitions and aligned periods. Ask how quantities below the block, excess usage or an expressly included sellback provision are treated instead of assuming all indexed arrangements settle those situations identically.

What time and data conventions must be preserved?

Record the publisher’s interval labels, time zone and the meter data convention. Establish whether each timestamp marks interval beginning, ending or another defined event. A shift in labeling can pair valid energy quantities with the wrong published prices while leaving monthly totals unchanged.

Preserve the original exports before applying conversions or corrections. Document how duplicate, missing or changed records are handled, and distinguish actual readings from reconstructed values. If the publication updates a price after the hotel’s initial calculation, retain both versions and determine how the agreement treats that change.

Do not infer a universal clock convention across grid regions or suppliers. The NYISO example is specifically dated and labeled. For another market, obtain the relevant publisher’s actual documentation and the adopted retail method. The record should identify which convention was confirmed, not simply say that timestamps were cleaned.

How can a wrong reference affect an illustrative calculation?

Assume a fictional energy quantity of 100 MWh and an assumed matching average reference of $70/MWh at Location A. The limited energy amount is $7,000. If an analyst instead selects an assumed $80/MWh value at Location B, the result becomes $8,000, a $1,000 difference.

All values and location names in this example are invented teaching assumptions. They are not NYISO observations, current supplier prices or forecasts. The example does not say which location a real hotel should use, nor whether a retail adjustment would offset or add to the difference.

Its purpose is to show that choosing a plausible published number is insufficient. Confirm the adopted series and matched quantity, then apply the actual formula. A correct multiplication cannot repair a wrong location, period or component boundary.

Which retail adjustments need their own record?

Read the full price exhibit for adders, losses, included components and separately defined charges. Identify each item’s unit, timing and calculation. The index reference can explain one part of the price while leaving other supply and utility charges outside that comparison.

Reconcile broker compensation with the quoted scope. If the approved unit price already includes it, do not add it again during invoice reconstruction. If it is charged separately, keep its method and period visible. The quote-unit guide addresses normalization before comparing calculations.

Ask for an explanation where a supplier invoice presents an aggregated unit amount instead of separate lines. The hotel can request a reproducible component breakdown without claiming that every agreement requires the same bill format or grants access to all upstream transactions.

What happens when a named series changes?

Locate disruption, replacement-index and calculation-adjustment provisions in the actual agreement. Identify the event claimed, effective period and authorized method for selecting a replacement. Preserve the publisher’s notice and the supplier’s explanation rather than treating a changed website layout as proof that a contract term has changed.

The EEI optional miscellaneous provisions include index-disruption language. That wholesale model resource is an example of an express mechanism, not a fallback automatically incorporated into hotel retail contracts.

  1. Record the complete named series and settlement location.
  2. Match published values with the adopted meter periods.
  3. Check units and component adjustments independently.
  4. Preserve original and revised data versions.
  5. Review any disruption or replacement under actual terms.
  6. Retain the reconstructed amount and unresolved questions.

What should ongoing procurement reporting show?

Report the adopted reference, quantities exposed to it, fixed quantities and any unresolved calculation item. Keep the source date with market observations so a future reader does not mistake a historical example for a live price. A public series and a supplier offer should remain distinct records.

The layered-purchasing guide discusses fixing exposure over time. An index register supports that work by identifying what remains open and how it is priced; it does not prescribe a buying schedule or predict when the market will improve.

Update the register when a product exhibit, accepted block or reference changes. The hotel can then trace an invoice back to the correct location and time series without rebuilding the interpretation from a regional headline or a saved screenshot.
