What exactly is an occupied room-night?
An occupied room-night is one room occupied for one night. A three-night stay in one room creates three occupied room-nights, regardless of how many guests stay in that room. A reservation count measures bookings, and room inventory measures capacity; neither is the denominator required for this operating ratio.
Define how your property treats complimentary rooms, house use, and rooms temporarily removed from service. Use the property’s established reporting convention, record it, and keep it consistent. A change in that convention can create an apparent energy improvement without any change in building performance. Ask revenue management to supply the denominator directly from a reproducible report.
The bills and costs hub explains the broader distinction between cost, price, consumption, and demand. Cost per occupied room-night combines several of these measures into one management indicator. It is useful because it connects energy spending to room activity, but it cannot explain every variance by itself.
How do you calculate the ratio without a boundary mistake?
Energy cost per occupied room-night is defined energy expense divided by occupied room-nights for the same dates and property boundary. Write the definition above the spreadsheet. Specify included fuels, invoice components, taxes, credits, and any separately metered tenant spaces before entering a number.
| Input | Preferred record | Boundary question |
|---|---|---|
| Electricity cost | Reconciled utility and supplier invoices | Are both delivery and supply included? |
| Natural gas cost | Utility and marketer invoices | Are credits or deposits being treated as operating cost? |
| Other fuel cost | Fuel ledger with quantities | Does the record measure purchases or actual consumption? |
| Occupied room-nights | Property system report for matching dates | Are complimentary and house-use rooms treated consistently? |
| Amenities and tenants | Meter register and operating reports | Does the energy boundary include their activities? |
Distinguish cash payments from expense. A deposit is not ordinary energy consumption expense, and paying a prior balance does not mean the current month used more energy. Establish an accounting convention for refunds and prior-period corrections. The metric becomes easier to interpret when extraordinary items are separately visible rather than hidden in the numerator.
What does a worked calculation show?
Assume an illustrative hotel has $18,000 of electricity expense and $6,000 of gas expense for a defined month, with 4,000 occupied room-nights. Its energy cost per occupied room-night is $24,000 ÷ 4,000 = $6. These are assumed inputs, not a typical hotel cost or an energy quote.
Now assume the next comparable month has $25,000 of energy expense and 5,000 occupied room-nights. The ratio falls to $5, although total spending increases by $1,000. That is a lower cost per unit of room activity, but it does not prove equipment became more efficient. Greater occupancy may have spread a relatively stable common-area energy load across more rooms.
Reverse the pattern and the same issue appears. A hotel can reduce total energy while its cost per occupied room rises because occupied room-nights fall faster. Explain both movements in the monthly review. A single favorable or unfavorable ratio should lead to questions about the drivers, not an automatic judgment on engineering performance.
Which companion metrics make the result useful?
Track electricity kWh per occupied room-night and gas therms per occupied room-night alongside the cost ratio. Keep demand in kW separately because it is a rate of consumption, not a volume that can be added to kWh. Also retain total quantities and total spending so an improvement in one ratio does not obscure an increase elsewhere.
EPA’s EUI explanation defines energy use intensity using floor area and annual energy use. EUI supplies a building-oriented perspective that complements the room-night ratio. Check whether a comparison uses site or source EUI, because those metrics are not interchangeable.
If you combine fuels in a common energy unit, preserve the conversions. EIA’s Btu reference identifies 3,412 Btu per kWh and 100,000 Btu per therm. A combined energy figure can support physical analysis, while separate fuel quantities remain necessary for price and equipment decisions.
The hotel energy-use benchmark guide describes why hotel type and climate belong in comparisons. Room activity alone does not capture restaurant meals, banquet attendance, laundry pounds, pool conditions, or meeting-space utilization. Include those activity indicators when they materially explain a property’s consumption.
How should billing dates and seasonality be handled?
Start with the utility service period rather than the invoice issue date. If electricity runs from the nineteenth through the eighteenth, request room-night activity for those same dates. Where interval data are available, align energy to the reporting calendar using measured quantities instead of simply dividing an invoice evenly across days.
Gas and electricity can have different service dates. For a management report, you may allocate each to a common calendar month, but disclose the method and distinguish allocated values from measured bills. A daily allocation is an approximation when weather or occupancy changes sharply. Reconcile the annual total back to the original invoices.
Compare a trailing twelve-month period with another complete twelve-month period to reduce the influence of isolated billing timing. Still report unusual closures, weather, renovations, and service additions. A seasonal resort’s summer ratio and a year-round urban hotel’s winter ratio are not meaningful peers merely because both are denominated per room-night.
How can a portfolio compare hotels fairly?
Create peer groups before ranking properties. Separate limited-service hotels from properties with extensive kitchens, convention space, spas, indoor pools, or on-site laundry. Then consider climate and operating schedules. Peer grouping is a management choice that should be documented; it does not transform the ratio into a nationally standardized performance score.
EPA’s Portfolio Manager Data Explorer allows filtering benchmarked properties by characteristics such as type and location. It is useful for exploring comparison populations, with attention to the dataset’s measured whole-building scope. Do not represent its users as a random sample of every hotel or label every filtered result a recommended cost target.
Calculate the portfolio ratio from total included cost divided by total occupied room-nights. Averaging each hotel’s individual ratio equally gives a small property the same weight as a large property and answers a different question. Show both only when the audience understands the weighting and why each is being used.
What should the monthly explanation contain?
- State the numerator, denominator, dates, and excluded items.
- Compare total cost and total room-nights with the reference period.
- Separate changes in physical consumption from changes in unit prices.
- Identify demand, tariff, weather, and activity effects where evidence supports them.
- Assign a specific investigation to unexplained differences.
Avoid forcing every variance into an occupancy explanation. A supplier renewal, higher demand charge, or corrected estimated bill can change cost without a corresponding operating change. Use the bill audit guide when arithmetic or account records do not reconcile.
For planning, carry expected occupied room-nights and energy expense assumptions into the annual hotel energy budget. Test downside occupancy separately from higher energy prices. That gives ownership a view of both total cash exposure and the operating ratio, with each assumption visible and reviewable.
Keep a brief definition note with each report, including any changed boundary. This small discipline protects a useful metric from becoming misleading as the hotel adds amenities, shifts laundry off-site, changes managers, or receives a refund. Consistency gives a trend meaning; a polished chart alone does not.
