The solar monitoring portal reports production, the utility invoice displays grid quantities, and the supplier statement lists a charge that seems too high. The hotel should define those records before comparing totals. Generation can be used on site, exported, stored, or reported over a different period from the bill.
The bills hub provides the invoice foundations. This guide creates a monthly operating reconciliation for an installed arrangement, rather than assuming a production estimate proves a project’s financial outcome.
Which quantities describe the system?
List inverter generation, grid imports, grid exports, any relevant storage flows, and the utility’s billing registers. Record the unit, source, meter scope, and timestamps for each. Keep cumulative values separate from period totals.
The actual system configuration determines which relationships are valid. A simple no-storage example can illustrate a ledger, but it should not be applied to a battery or different metering arrangement without the appropriate evidence.
Ask the monitoring provider and utility to explain unfamiliar fields. A label called net usage can differ from the hotel’s total site consumption. Copying it into a production chart does not establish equivalence.
| Record | Evidence needed | Reconciliation question |
|---|---|---|
| Generation | Validated system output and period | What physical production was recorded? |
| Grid imports and exports | Revenue-meter definitions and dates | What crossed the utility boundary? |
| Self-consumption | Appropriate system relationship | What generation served site load? |
| Financial credit | Applicable programme and posted statement | What amount was actually applied? |
| Remaining charges | Tariff and supplier provisions | Which components still apply? |
Which program and classification govern the account?
Confirm the approved interconnection and billing arrangement, program version, eligible customer class, and relevant tariff. Public descriptions are starting points, not account-specific approvals.
PPL’s customer-generation FAQs address classifications and current billing questions in its territory. Use the actual account’s applicable treatment rather than assuming every PPL hotel has the same default or credit basis.
California’s net-metering and net-billing information distinguishes program arrangements. Its rules should not be combined with another state’s into a nationwide export formula. The net-metering definition gives broader terminology while the approved local arrangement controls this ledger.
How should the physical example be calculated?
Assume a teaching example has no storage or unmodeled system flows, matched periods, 1,000 kWh of generation, 300 kWh of exports, and 2,000 kWh of grid imports. Under those assumptions, self-consumed generation is 700 kWh.
Site consumption is then 2,000 imported kWh plus 700 self-consumed kWh, or 2,700 kWh. A simple imports-minus-exports quantity would be 1,700 kWh, which is a different boundary from site consumption.
These are invented demonstration values, not a hotel system, billing formula, or programme result. The example shows why production, net grid quantities, and site consumption can differ legitimately. The actual metering and approved billing arrangement must establish the relevant calculation.
What must match before quantities are compared?
Align utility service dates, inverter reporting periods, time zones, and data completeness. A calendar production total can differ from an invoice spanning portions of two months. Missing telemetry does not necessarily mean zero physical generation.
Preserve raw monitoring data and any corrected reports. Identify system outages, communications gaps, equipment changes, or storage operation where they affect interpretation. A production chart should not silently replace unavailable records with a smooth estimate labeled actual.
The commercial bill-reading guide supports source quantity and charge identification. Keep its invoice boundary visible when adding the separate generation record.
How is the applicable export credit verified?
Locate the actual programme terms and billed fields. Identify which exports or other approved quantities receive credit, how the value is determined, and which period the statement reflects. Retain the supporting provider explanation where needed.
Ohio’s net-metering rule provides an Ohio-specific framework. Apply its relevant scope and the account’s actual arrangements, rather than assuming a California or PPL credit method fits an Ohio hotel.
Keep expected and posted amounts separate. An enrolled account and operating system do not prove that the utility received all needed data or applied the correct treatment. Record missing credits as a specific reconciliation issue with an assigned contact.
Which supplier charges remain relevant?
Review the actual supply agreement and invoice for component boundaries, volume treatment, and generation-related changes. On-site production can reduce grid purchases without independently amending a supply obligation or eliminating pass-through items.
DOE’s utility rate evaluation guidance explains why energy, demand, and other components respond differently. Use the applicable tariff and agreement to reconstruct the actual bill.
Disclose broker compensation where it enters the supply comparison: payer, calculation, units, and embedded or separate treatment. Count it once. A solar reconciliation should not value self-consumed energy with an unexplained whole-bill average that contains unaffected charges.
How are demand effects checked separately?
Compare the relevant load and generation intervals with the tariff’s actual demand determinant. The monthly peak can occur after useful generation or under conditions with limited output. Annual production is not sufficient evidence.
The demand-charge guide develops those distinctions. A lower imported kWh total does not automatically establish a reduced billed maximum or changed capacity tag.
Keep any demand-benefit scenario labeled with its assumptions. If interval evidence is unavailable, state that limitation rather than assigning a generic percentage of production as demand savings.
What does a missing credit investigation require?
Identify the account, approved program, service period, export record, expected calculation, and statement on which the item should appear under the actual process. Retain prior provider contacts and reference numbers.
Ask the responsible party to explain whether the issue concerns data, classification, timing, or a disputed calculation. A supplier and utility can have separate roles. Do not send an unexplained production total and assume it proves an invoice error.
Use the Bill Teardown to preserve original charges and later adjustments. Link the credit to its source period so it is not reported as current physical efficiency when it corrects earlier billing.
How should ongoing performance be distinguished from investment claims?
An operating ledger can identify missing data, underperformance questions, and billing discrepancies. It does not independently substantiate the original project’s payback or complete investment result.
Keep maintenance costs, project scope, production assumptions, and actual commercial benefits in the appropriate project review. The hotel solar guide addresses that broader purchasing decision.
If the hotel changes equipment, load, storage, or programme arrangement, refresh the ledger definitions. An earlier simple relationship can become unsuitable when the system boundary changes.
What closes the monthly reconciliation?
- Identify actual program, class and approved metering.
- Define generation, import, export and relevant storage quantities.
- Align periods, units and data coverage.
- Calculate only supported physical relationships.
- Reconstruct applicable supplier and utility charges.
- Compare expected treatment with posted credits.
- Assign unresolved data, billing and operating questions.
The completed record explains what the hotel produced, purchased, exported, and actually received financially. It preserves limitations rather than making a production dashboard stand in for the utility account or a claim that every generated kWh eliminated equivalent expense.
Where the actual arrangement carries a credit or balance forward, retain that ledger separately from current production. Record the opening balance, supported additions, applied amounts, and closing balance under the applicable terms. A change in a banked financial quantity is not automatically a change in site consumption, and it should not be blended into the physical generation comparison without explanation.
